Treasurer- shall be designated as one of the authorized signers of the organization's bank account and the principal accounting and financial officer and shall be responsible for the maintenance of all funds for the organization; receive and give receipts for monies due and payable to the organization from any source whatsoever and deposit such monies in the name of the organization in such banks as shall be selected by the organization. He/she shall render to the membership an account of all his/her transactions as Treasurer and perform all the duties incident to the office of Treasurer and such other duties as maybe assigned by President or organization.
Membership Chairperson - Manages the membership process for the family reunion committee, including recruitment, registration, and retention of family members. Coordinates outreach efforts to encourage family members to join the reunion committee and participate in planning activities. Maintains a database of current members, including contact information and preferences. Provides support and resources to members, answers inquiries, and addresses concerns related to membership and participation in the reunion. They collaborate with other committees and provide support and guidance regarding membership benefits and policies, ensuring an inclusive membership community within the organization.
Hospitality & Welcome Committee Chairperson – shall welcome family members, provide information, set-up and manage registration table, be responsible for decorations for all events and be the liaison between hotel and family members during family reunion activities. In addition, coordinate with the Financial Secretary to determine the give-away contents, prepare the swag bags, and distribute shirts.
Volunteer Coordinator - Recruits and schedules volunteers to assist with various tasks during the reunion i.e. food prep, set-up and tear down as needed. Assigns duties and responsibilities to volunteers based on their interests and skills. Ensures that volunteers are properly informed and supported throughout the event.
Activates Committee Chairperson – shall plan and oversee activities and coordinate with the entertainment committee any entertainment requirements.
Entertainment Committee Chairperson– shall coordinate the entertainment and equipment set-up for all planned events (DJ/music, PA System, & live entertainment) as designated by the event planning committee.
Photography Committee Chairperson – shall be responsible for capturing the event via photos/video and interviews and, coordinate group photos.
Historian Committee Chairperson – shall oversee the set-up of the family history table, research, and share family history.
Transportation Chairperson – The Transportation Coordinator is responsible for orchestrating all transportation logistics for the family reunion events. This includes planning and executing transportation arrangements, coordinating with vendors, and communicating transportation options and schedules to attendees, they ensure accessibility accommodations, manage the transportation budget, and develop contingency plans for emergencies. Additionally, they will collaborate with other committee members to integrate transportation seamlessly with event activities.
Webmaster – As the Webmaster, your role encompasses creating and maintaining our website dedicated to the reunion where you’ll update event details, schedules, and RSVP forms, manage online registration and payments, and share memories through photos and videos. You’ll facilitate communication among family members, ensure the website’s user-friendliness and accessibility, troubleshoot technical issues, and collaborate closely with the reunion planning committee to align online activities with offline events.
